· Prompt attending to any customer dissatisfaction by communicating to the Manager. · Handle queries brought forward by Distributors or from Head Office pertaining to Distributors · Provide distributors with product and service information · Maintain call logs, query logs, make sure they are up to date and generate reports when necessary · Capture the stock and DSO adjustment to EXIGO. · Assist the Manager in conducting monthly and weekly meetings · Compile reports that must be checked daily, weekly and monthly · Do stock and Cycle counts · Assist with balancing and cash listing · Compile payment plan and register to be reviewed · Assist with organizing, planning and implementing strategies · Check if faxed orders have been received · Assist with all Company’s Events · Ensure that the attendance register, and overtime forms are kept up to date at all times. · File cash up, claim summary and order listing · Run the DC during the Manager’s absentia · Work flexi hours to suit the requirements of the Business Operations · Perform any function that may be required from time to time Order Processing · Assist with the processing of orders, applications and renewals · Assist in processing of International Orders · Sort queries on orders · Balancing of the daily cash listing · Follow up on unidentified deposit slips · Assist with the processing of warehouse requisitions and staff orders · Assist with fax, WhatsApp, email and telephone orders · Log and keep record of all orders, renewals and applications that are captured in the fax department · All paperwork/orders must be processed before day-end · Any other work that may be requested Order Queries · Handle any queries relating to orders with short payments or over payments, incomplete orders etc. These queries will include personal and telephonic contact as well as written correspondence · Assist with capturing all queries on the system – following the query through to completion. · Capture all product complaints on the system · Check if faxed orders have been received and Processed Team Production · Keep updated distributor information on the system · Assist contacting Distributors with returned mail · Request for re-issuing of cheques – correction of information on cheques Month Ends · Putting through qualification orders Company Events · Assisting with all company’s events as and when required. Sales Team meetings, Conventions and Training events · Able to work flexi hours to suit the requirements of the Business and attend certain events which may include working over weekends
